Virtual Learning And In-Person Program Planner
Temporary to Permanent Assignment | Both Onsite & Remote | St. Louis, MO
We are seeking an organized, tech-savvy, and proactive Virtual Learning and In-Person Program Planner with experience in virtual learning platforms and program coordination. This position plays a key role in executing virtual and in-person programs that support our mission. You will collaborate with internal staff, speakers, and third-party vendors to deliver high-quality learning experiences to our members, ensuring all logistics, technology, and event planning components are in place from set-up to execution and post-event analysis.
Responsibilities
Program Coordination and Execution:
Oversee the full scope of logistics, technology, and event planning for both virtual and in-person programs.
Coordinate virtual programs such as webinars, live-stream broadcasts, virtual conferences, and hybrid events.
Support in-person events, including our Mission, Ethics, Sponsorship Programs, and Assembly teams, with potential future hybrid components.
Virtual Event Management:
Serve as a co-host for virtual events on platforms such as Zoom Meetings and Webinars.
Handle spotlighting, chat monitoring, polls/quizzes, and mute management.
Share presentation slides and manage attendance reports.
Create and update broadcast emails and manage broadcast forms in HubSpot, including updating meeting titles, access links, etc.
Technical & Systems Support:
Maintain and organize program folders in MS Teams.
Familiar with LMS platforms for managing and supporting virtual learning programs.
Manage the Programs & Learning inbox, ensuring timely responses to inquiries.
Data and Reporting Management:
Enter and manage data in Aptify, ensuring accuracy and completeness.
Requirements
Technical Skills:
Proficient in Microsoft Office and MS Teams.
Experience as a Zoom co-host, with a solid understanding of spotlighting, chat management, and polls/quizzes.
Familiarity with HubSpot (or similar CRM systems), LMS platforms, and Aptify data management.
Some knowledge of HTML is beneficial.
Familiarity with Adobe Creative Suite and/or Canva is a plus.
Project Management:
Strong ability to manage multiple projects simultaneously and meet competing deadlines.
Must be a self-starter with a high level of technical proficiency and capability to research and learn new skills quickly.
Communication & Interpersonal Skills:
Excellent written and verbal communication skills.
Strong attention to detail and ability to maintain composure under pressure.
Critical thinker who can anticipate needs and "think around corners."
